Content Approval via email
Use content approval via email to let reviewers approve or reject posts without needing their own account in the platform.
How content approval works
This feature lets users approve or reject posts by email without needing an account. It is useful when teams work with clients or external reviewers and need a simple approval flow.
Approval process
Post events appear in the notes section, including when the post was created, rejected, or sent back with a message.
If you edit the post after sending it for review, you must send it again.
From planning, create the post and click Submit for review.
Add reviewers by entering their email addresses.
You can choose how many reviewers must approve the post before it can be published:
No reviewers: All reviewers are notified and can reject the post. If nobody rejects it, the post is published.
At least one: At least one selected reviewer must approve the post. If nobody approves it, the post is not published.
All reviewers: Every selected reviewer must approve the post. If any reviewer does not approve it, the post is not published.
The post appears on the calendar with the status Pending approval.
Reviewers receive an email with a link to the approval page.
When a reviewer clicks Approve, the post moves to the Approved state and waits for publication on the scheduled date.
When a reviewer clicks Reject, they can optionally leave a note. The post is marked as rejected and is not published.
If the post needs approval from more than one user, it stays in Pending approval until all required reviewers validate it. You can review each user's status in the details.
